Sending an SMS whenever a Form is registered

Hello.

Is it possible to send automatically a SMS message whenever a Form is
recorded or a Case is closed ?
I could not find the info in the documentation about CommConnect.

Many thanks for your help.

Hi Patrick,

Can you tell us a bit more about your workflow? It sounds like you want to
send an unusually high number of SMSs, and I'm hopeful there are other
effective ways to achieve the workflow you want.

Thanks,
Amelia

Hello, thank you for your fast reply!

We have here in southern Ghana a cluster of villages fitted with 7 clinics
and one medical lab. Whenever a patient attending any of these clinics
requires a blood analysis, the nurse or midwife first registers this
patient (if he/she has not been registered before); then she collects the
sample, registers it and orders a list of tests; and then the sample is put
in a cool-box and brought by motorbike to the lab where it is immediately
analysed (blood should not wait more than 1h and the longest ride lasts
more than 40 mn). The CommCare application has therefore indeed 2 goals :

  1. manage a database of patients, samples and results of the tests
  2. inform the lab assistant that samples are on the way to the medical lab
so that he can prepare the required reagents and organise his
schedule (depending on the tests) to treat them as soon as they arrive

So goal 2 requires that a kind of beep warns the lab assistant that he
should check the CommCare database urgently (in fact a SMS is not
necessary). But he can hardly be all day long checking whether dumb orders
have just been sent to him!

Many thanks for your help and suggestions,

Patrick

Hi Sheel.

Actually, sample cases are created by a nurse (form 1), completed by the
lab assistant once he has finished with the analysis (form 2) and closed by
the nurse when she acknowledges that she has read the results and has
reported them into clinic registers and to the patient (form 3).

Maybe your proposal would successfully warn the lab assistant that he
should soon have a look at his CommCare display but I am not sure to
understand what lies behind your "Instead, the case can just be marked as
sent to lab, triggering a reminder to the lab
". Which kind of reminder
would it be. Is it possible that the lab assistant's phone rings when such
a reminder is emitted? If so can you give me a link explaining how to set
the form so that such a warning be sent?

Kind regards.

Patrick

Hi Patrick,

I also spoke to our developer team and we're unable to send SMS reminders
when a case is closed. As Amelia suggested, it would be great if you could
share what you're trying to achieve so we can give you some alternative
suggestions.

Thanks,
Sheel

Hi Patrick,

That sounds like a super interesting use case. One option is to not close
the case as soon as the nurse or clinic register the sample. Instead, the
case can just be marked as sent to lab, triggering a reminder to the lab.
The case then later be closed at another point (when the lab received the
sample, when the motorbike drops them off, or by the nurse at the end of
the day). Are these potential options?

Hi Patrick,

I think the best option would be to have the nurse directly call the lab
when a sample has been sent out. This is probably the most robust way to
ensure the lab is ready for the sample. This could be a prompt your
provide in the form with the appropriate phone number to remiind the nurse
to call.

I'd rather not rely on SMS, as depending on internet connectivity or the
cell phone provider, there could be a significant delay in sending the
message.

Thanks,
Sheel
