Missing data from repeated questions

Hi,

I have set up a repeat question for the ages of the children a mother has.
The question sequence is:

Do you have any children of your own? Y/N

If yes then the next question asks 'How many?"

The answer to this is used to set the number of repeats of the next
question which is:

For each child please tell me how old he / she was at his / her last
birthday.

The sequence works on the emulator but when I download the data I have only
the answers to the first two questions (do you have and how many) and not
the ages of the children in the excel spreadsheet.

What do I need to change to be able to download this data?

Thanks

Jenny

Hi Jenny,

Are you using a custom export? Because they don't currently support
repeats. You should be able to see this data by exporting the entire form,
though.

Hi Jenny,

Just adding on what Cory said.

If you did indeed download the "full" form submissions (not using the
custom export), the data from a repeated question will be located in
the second
worksheet
(tab) in the csv file. The data column in that second worksheet
called "id" or something similar will allow you to link that data to the
corresponding form and data column in the first worksheet (tab). Just
making sure you realized that data is located in the second worksheet.

Hi,

Thanks for the responses. I'm not using a custom download (but good to
know in advance that they don't support repeats).

I tried downloading the data in two ways. First on export submissions then
export full form and clicking the download tab next to the form I want.
This gives me the multiple worksheets but it contains only headings and no
data. Secondly, on export submission then clicking the bulk download tab
of full form exports for the form I want. This gives me the data from the
6 submissions but there is only one worksheet, so none of the repeat data.

Any other ideas?

Hi Jenny,

Were you using either cloudcare, the demo user, or admin to submit the
data? If so you'll want to check your filters and be sure you have the
appropriate categories of users ticked at the top (and you have to click
"Apply" and wait for the page to reload before downloading).

If this doesn't work, please feel free to send me the name of the domain
and form you are using and I can take a look.

Hi Cory,

Thanks, that seems to have fixed it.

I am now wondering what the best way of linking the repeat data to the rest
of the information is as the way it is presented in the tabs is a bit
limiting. I can see which record it links to as it is listing the id
number of the record (e.g. record number 4 would be 4|0 for the first set
of data and 4|1 4|2 for any repeats). But since the numbers 4|1 don't
appear in the main table it isn't possible to just do a look up in excel;
it would be more helpful if it was one of the unique identifiers that came
up here - is there anyway that this can be done? The only way I can think
of is by making the data collector reenter the woman's unique ID number in
the repeat question section, which isn't ideal (our unique numbers are
quite long so there's a risk of error)

I also tried setting it to update the case with this information to see if
I could link it this way but this doesn't seem possible for repeat
questions.

Do you have any other suggestions?

Thanks

Jenny

Hi Jenny,

I am now wondering what the best way of linking the repeat data to the

of is by making the data collector reenter the woman's unique ID number in
the repeat question section, which isn't ideal (our unique numbers are
quite long so there's a risk of error)

Adding additional columns to break out that ID is actually something on our
short term roadmap so it should be much easier to do the linking shortly.
Agree that manually entering the IDs is probably going to be a challenge.
The best short term workaround might be to add formulas in Excel to parse
the 4|1 column into two columns and then using those computed columns to do
the linking.

I also tried setting it to update the case with this information to see if

I could link it this way but this doesn't seem possible for repeat
questions.

That's right. Sadly our repeat support is a bit behind some of our other
features.

Cory,

Thanks for the super fast response!

'The best short term workaround might be to add formulas in Excel to parse
the 4|1 column into two columns and then using those computed columns to do
the linking' - this is actually what I did! The difficulty is that I end
up with multiple rows per case so am then using a pivot table to align all
the data against each case number and I can then use vlookup to take this
back into the tab with the rest of the case data. It's a bit clunky,
especially as I'll be collecting this data from about 4000 people! So I'll
eagerly await any updates on this!

I am now wondering what the best way of linking the repeat data to the
rest of the information is as the way it is presented in the tabs is a bit
limiting. I can see which record it links to as it is listing the id
number of the record (e.g. record number 4 would be 4|0 for the first set
of data and 4|1 4|2 for any repeats). But since the numbers 4|1 don't
appear in the main table it isn't possible to just do a look up in excel;
it would be more helpful if it was one of the unique identifiers that came
up here - is there anyway that this can be done? The only way I can think
of is by making the data collector reenter the woman's unique ID number in
the repeat question section, which isn't ideal (our unique numbers are
quite long so there's a risk of error)

Adding additional columns to break out that ID is actually something on
our short term roadmap so it should be much easier to do the linking
shortly.

Just wanted to quickly mention that this update is now deployed. Hopefully
managing your repeated data in exports should be a little bit less painful
now!

cheers,
Cory
