Imported Cases Not Showing on the Phone

Dear CommCare Users,

I imported cases using Excel Case Import Tool and cases appear on
CommCareHQ but when I log-in with usernames owning the cases, the cases are
not showing up on the phone. Also note that the users are in case sharing
groups, and I expect any one of the users in the case sharing group to see
the case owned by a participating member.

Why am I not seeing the cases? Do I have to wait for some number of hours?

Any advice?

Hi Chaiwa,

The cases should be available immediately after upload if they are indeed
assigned to the appropriate case sharing group for the users.

Can you confirm whether you've tried clicking "Sync" on the devices after
the upload? If you've already logged into the phone as a user once, future
logins require either an automated or a manual sync to request new data
from the server.

I have done the manual sync, cleared user data but to no luck! But wait a
minute, did you just say "cases need to be assigned to appropriate case
sharing group for the users"? Well, if that is the case then that could be
the cause of the problem! What I have done though is create one case
sharing group per supervisor, put the supervisor and case owner in the same
group, with the assumption that the two can share the cases. Also, out of
curiosity, could it be because some of my case owners are participating in
more than one case sharing groups(supervisor groups)? Would it be okay if I
put all of the users in just one giant case sharing group(supervisor group)
and then filter out cases they see at run-time?

aha! That must be the problem.

In CommCare's when you create a case sharing group cases are assigned to
the group directly, not shared from the cases owned by the members.

There are two ways to accomplish what you are looking to do.

  1. Assign all cases to one supervisor group, and then filter on the
    individual devices.
  2. Create one case sharing group per (supervisor+user) pair, and assign the
    cases to those groups. This will mean that the supervisors will be in
    multiple groups, and will see all of the cases the users see. The users
    will only see the cases in the group they are a member of.
