Feature Request - Ability to exclude closed cases from case exports

Hello,

This is a feature request:

Ability to exclude closed cases from case exports.

Given that same of our case exports include >10,000 rows, this has caused significant problems with excel performance on older computers that our local partners use in Guatemala. Given the number of rows and limited processing power of some of these older laptops, it is time consuming to filter and then delete cases that have been closed. In some cases it causes their Excel to freeze. Typically the cases of interest are only those that have not been closed and this typically only encompasses around 10% of all cases (~1,000). With time the number of closed cases will continue to increase while the number of non-closed will stay roughly the same, meaning this issue will continue to get worse if there is not an ability to exclude closed cases. I realize that reports have built in filters, but those are only available with higher-tiered plans and there are limitations for numbers of reports before incurring additional costs. The date range filter for case exports is somewhat helpful, but sometimes unable to meet needs when there is a need to do bulk data cleaning that will then cause older cases to be included within a more recent date range due to it's last modified date falling in that range. Whether a case is open or closed is something that can be better controlled.

In the export settings page, scroll to the Filters section, and select only open cases.

@hossam.khalili Where is the export settings page? Any chance you can share screenshot(s)?

@hossam.khalili I’m just following up on this. Where are you able to say select only open cases to be included in a case export?

Hi @achavez812 -

Just jumping in here! My name is Kaleb and I am a member of our CommCare Support Team.

For case data exports, your current process of excluding closed cases by filtering and deleting them from the excel report is currently the only was we have of filtering this data in the manner you described.

If you are a Pro subscriber, you have access to the Case List Explorer, which is a report that can query cases by type and property to be exported to excel. This report has a filter to only include closed and/or open cases.

As a workaround for the machines that really struggle handling this quantity of data, you can export the cases using CLE and share them with the users via email.

I also highly recommend submitting this feature request at feedback.dimagi.com where you will be able to directly interface with our product team.

Let me know if you have any other questions!

Best,

Kaleb
