Case Export or Form Export for Activity monitoring?

Hi all, I have a general question to do with the creation and management of
an Excel database, generated from the data that is exported from CommCare.

I have a Registration form that gathers basic information about
individuals, and a follow-up form which records any activities that they
subsequently do. I have many cases (reaching about 10,000) and quite a
large number of different activities that the cases can do (about 50).

The activity information from the follow-up form constitutes the basis of
my program's M&E system so I want to record all this information in an
Excel database. It seems to me that I can choose to use either Case Export
or Form Export as the basis for this database. For Case Export to work, I
would need to make sure that all relevant information from the Registration
and Follow-up forms are added to the case properties. I have the feeling
that Form Export would be the conventional method. However, in many ways,
Case Export would be more straightforward, as the step of matching various
activities to specific individuals (as I would need to do if I was using
Form Export) has already been done for me if I use Case Export. However, I
have been told that this is a 'back to front' way of using case data.

I would be interested to know if people recommend I use Case or Form Export
as the basis for my activity monitoring (I will use Form Export for
analysis of longer surveys). My technical skills are also limited, so I am
looking for a solution which is reliable but not overly complex (for
example, perhaps the Data Export tool would be useful, but I doubt I would
have the technical skills).

Many thanks for any insights.

John

hi John,

Our Case Export utility sounds like it would work well for you, provided
that you include all the necessary information in the case. Additionally,
you may want to create an excel dashboard
https://confluence.dimagi.com/display/commcarepublic/Tutorial%3A+Create+an+Excel+Dashboard
based on this data to have an easy to update, continuous display of data.

Thanks,

Nate

Thanks for the info. Nate. One additional issue I have is that one of my
case properties 'id' is not appearing when as a selectable case property
when I try to make a custom case export. However, when I export the entire
form, it appears. Do you have any ideas why this could be? As I just posted
on another thread, I have moved my registration form to another module: I
am not sure if this could affect it?

Many thanks!

Hi John,

You don't see the case_id field in the main part of the export? It should
say (info) case_id with a display name of info.case_id. If you don't see
this as an option when you're making a case export, please use Report An
Issue from your custom export page and we can look into it further.

Thanks,

Nate

Hi Nate,

I see the case_id field, but I have an additional property that I created
called 'id' which is not appearing. I'm in contact offline with Andrea so
will follow up with her.
Thanks!
