Merge cases after double registration

Hi all,

We have an application in which mobile workers register a health facility
and then fill out forms linked to that particular health facility.
Unfortunately, some of the mobile workers registered a certain facilities
multiple times by accident. They subsequently filled out multiple forms for
the duplicated cases. Usually we would just close one of the cases, but in
this case it would mean losing those forms.

I would like to know if it is possible to somehow merge multiple cases into
one. Alternatively, reassign forms from one case to another.

You can download the case list and edit the details, and you can then do a
manual case upload after editing the case details. Please see this link for

So are you saying I can change the duplicate case id to the original case
id? Will this lead to changes in the case id’s on the forms?

Hi Ralph,

Unfortunately managing duplicate cases like this can be a bit difficult. It
is not possible to reassign forms to different cases, and the there isn’t
any way to change the case ids on the forms. I think you have a few options:

  • only close the duplicate cases, in which case you will preserve the forms
    but only have one list of open cases.
  • close the duplicate cases and try to merge in any more recent data by
    using Excel Import too that Kishan referenced
  • choose one of the registration forms to archive, which will also close
    (or rather, un-open) the duplicate cases. As you noted will make the
    duplicate forms unavailable in the exports
