Case management querry - I have my settings wrong

Hi,

so I am pilotting my forms on the phone and I have completed the form which
opens a new case but there is nothing listed in the case list in any of the
other forms...?

I have two modules, a recruitment one and a follow up one. Each module has
several forms within it. I want to open a case with the first form in the
first module and then select that case from the case list for the rest of
the forms in that module PLUS in the other module (when it comes to folllow
up).

firstly, is this possible?

I have tried to set it up as follows:

both modules have the same case type and name.

the first form in recruitment "opens a case in a different module" , and
here I have selected the follow up module.

all other forms in both modules ..

none of the forms close a case but I have put a case list filter onto BOTH
modules which only shows cases that have selected NO to one of the
questions in the follow up module.

Have I done something wrong? Please help? Why arent case showing
anywhere??? Neither in recruitment forms or in follow up module.....

There may be an issue in your case list filter. What exactly did you set
it to?

So I have a question at the end of the follow up forms which asks, "are you
finished?" (labelled: CASELISTQ) and if the answer is YES (1), I DONT want
it to show in the case list. But for all those cases that are either not
finished, or have not even gotten to that question yet, I want them to show
in the case list.

so I set my filter as:

CASELISTQ != 1

and I put this filter on BOTH modules (recruitment and follow up)

Have I don't something wrong?

Hi Natasha,

If I'm understanding your problem properly then unfortunately I don't think
there's a way to accomplish what you're trying to do. It sounds like you
want to open cases that are created by an incomplete form - however, cases
are only created when the criteria you specify for creating a case is met
AND the form is submitted to HQ. An incomplete form cannot create, edit, or
close a case until it is completed and submitted to the server. Please
correct me if this is not what you're attempting to do.

Also, I'm not sure that what you're trying to do with opening the same case
in another module will work - I believe this will always open another
separate case (creating some data consistency issues in your application)
though perhaps Clayton will know of a way around this. Is there any reason
that, since the forms are all operating on the same case type, you can't
have all of these forms in the same module?

Natasha,

I looked through this again and think I was a bit confused about what you
were trying to do - the case workflow you're describing (though not the
incomplete form usage) should work fine if the case properties are being
configured properly. Further, you shouldn't need to use the "open a case in
a different module" functionality.

Would you please report an issue through CommCare HQ and we can resolve the
bug there?

no, Im not trying to create a case from an incomplete form - it is complete
and submitted.

But you are right, perhaps I don't need 2 seperate modules.... I might try
merging the modules and changing the case settings and see if that works,

the question CASELISTQ to your case in the registration form?

The question CASELISTQ is the last question in the last form of the follow
up module.

If the patient has completed this last form and completed the whole
recrutiment and follow up process, I don not want them to show in the case
list.

So if the answer to the question CASELISTQ (ie have you finished everything
with this patient?) is YES(1), then this case should NOT show in the list.
If the answer is NO(2) or unanswered, the case should show in the list.

Hence my filter says : if the answer to this question is NOT yes = show
this case in the list

CASELISTQ != 1

Does that sound right?

Hi Natasha,

It sounds like what you actually want to do is close the case - is there
some reason you want to hide the case from the case list instead of closing
it? Closing the case will remove the case from both the case list and from
the phone itself. Filters will hide a case from the case list, but will not
remove the case from the phone. Unless you close your cases, they will pile
up on the phone and cause issues over time.

However, given your description, it sounds like you have the correct filter
to accomplish what you want to do. Can you use the "Report an Issue" tool
from your application to move the conversation there? It will give us a lot
of helpful context about your application.

Hi Amelia,

I was trying to avoid closing the cases in the event that we want to follow
them up again some time in the next few years, and I was advised that it
was probably easiest to keep them open and filter the list instead.

I have now tried removing the filter so that all cases should show in the
case list. I deployed this, but still no luck. no cases showing in the case
list despite having filled out the 'open a case' form.

I have now used the 'report problem' button from my phone, so hopefully you
guys can look into this for me..... not sure what's gone wrong?!

Natasha,

I read through the thread here, and wanted to follow up with you about your
use case and case closures.

Currently CommCare is built around certain assumptions of its use. One of
those assumptions is that things tracked as cases will generally have a
lifecycle. In other words will be opened, followed up on, and then at some
point closed, rather than maintained for indefinite years.

Depending on your platform (j2me, android, specific phone resources) you
will likely be able to use CommCare to track your case load indefinitely,
but I'd caution that the interface and various aspects of CommCare may not
be a great fit for long term EMR-style tracking of cases. If you are
keeping track of patients for years at a time you may find it difficult to
find cases with duplicate names or have challenges with very large case
lists.

We're generally working on improving our capacity to act as a long-term
record by introducing features that assist with large case
loads/lookup/patient record views/etc, but in the mean time you may
experience challenges of scale using CommCare for significant numbers of
patients for years of service. Supporting a workflow around "cases" as
events that you are tracking from registration to completion may be a
better fit.

Either way, let us know if you experience any further difficulties.
